Official Withdrawal Policy for Degree-Seeking Students Tuition, activity fee, and housing will be refunded based on a pro-rated scale determined by the week of withdrawal. Students are eligible to receive a reduction of tuition, activity fee, and housing if they complete the withdrawal process between week 1 and week 4 of the semester. After week 4 there will be no refunds given. Students purchasing a laptop through the school are required to pay for the laptop in full even if they withdraw. The withdrawal date will be determined by the date a student completes the Notification of Student Withdrawal form with the Student Affairs Office, or otherwise informs the Student Affairs Office in writing of their intent to withdraw. Refunds of tuition, activity fee, and housing will be calculated based on the following schedule: During the first week of classes = 100% During the second week of classes = 75% During the third week of classes = 50% During the fourth week of classes = 25% After the fourth week of classes = 0% Example: If a student completes the withdrawal form during the third week of the semester, their tuition, activity fee, and housing (if they live in campus housing), will be reduced by 50%. The student then will be responsible to pay for 50% of these costs. Official Withdrawal Process When a student decides to withdraw from all classes during a semester, they must complete a "Notification of Student Withdrawal" form with the Student Affairs Office. Forms can be picked up and completed with the Student Affairs Office. Please note that the official withdrawal date will be determined by the date the form is received in the Student Affairs Office. Official Financial Aid Withdrawal Policy If the student is receiving financial aid and withdraws from the college before the 60% point of the semester, federal regulations requires MCAD to recalculate the financial aid award based on the percentage of class days completed. Typically the 60% point of the semester is week 9 in a 15-week semester. For students who withdraw before the 60% point of the semester aid will be recalculated based on the following formula: Number of calendar days completed* as of the official withdrawal date Divided by total days in the semester Equals the percentage of aid earned Example: A student withdraws after completing 13 days of classes (week 3). There is a total of 104 classroom days in the semester. 13 divided by 104 = 13%. The student will be eligible to receive 13% of the original financial aid award. The financial aid is recalculated and the semester tuition bill is adjusted to the new financial aid award. Unearned aid will be removed from the tuition account. Students will receive an updated financial aid award showing the total aid awarded. The Student Accounts Office will notify students with any updates to the tuition account after aid is adjusted. *Scheduled breaks in the semester of more than 5 days are excluded from number of days completed. Financial Aid Return Policy Federal aid will be calculated based on federal regulations using the Return of Title IV Funds process. Minnesota State Grant calculations will be processed based on state guidelines as outlined in the Minnesota Office of Higher Education State Grant Handbook. Institutional aid will be recalculated based on tuition reduction schedule as listed above. After week four there will be no reduction in tuition costs so there will be no reduction in institutional aid awarded.
